COLLECTION DEVELOPMENT OF ELECTRONIC RESOURCES


 

The collection and development of e-resources in a library involves a strategic and systematic approach to ensure that the resources meet the information and research needs of the library's user community. E-resource collection in LIC is generally classified into two categories: directly subscribed e-resources and e-resources subscribed through participation in library consortia. IIMK is the founder member of the IIM Libraries Consortium and a beneficiary of MHRD's eShodSindhu Consortium, resulting in a considerable corpus of scholarly resources comprising e-books and e-journals, national/international databases, and other online services. Electronic Resources collection development in LIC is a systematically planned activity. The LIC Committee has an active role in collecting and developing e-resources. The committee provides necessary support and advice in every aspect of collection development.


01. COLLECTION DEVELOPMENT POLICY FOR E-RESOURCES

E-resources subscription involves a series of processes such as identifying resources, evaluating each product to decide its suitability for subscription, and final acquisition and management of resources. This collection development policy outlines the principles and guidelines governing the selection and acquisition of e-resources at IIMK LIC.   This policy aims to build a carefully chosen e-resource collection that supports the mission and vision of the Institute and meets the diverse informational needs of the user community.

  • The selection of e-resources in IIMK is mainly based on user suggestions and recommendations.
  • Students (through faculty) can also make new recommendations by endorsing the respective Academic Area.
  • Users should fill in an e-resource requisition form available on the library portal and submit the same to the LIC
  • IIM Libraries consortium is also a platform for identifying new e-resources. The annual IIM consortium meeting at one of the IIMs is also a platform for identifying new e-resources.
  • The publisher catalogs/brochures trial offers also help LIC to get information about new products and resources.

 

 

  • The recommended/identified e-resources are usually provided with complimentary trial access for a short period, and users are encouraged to give feedback on these resources.
  • These resources are then evaluated further to assess their suitability for a subscription.
  • The evaluation of resources will be based on the following criteria:
    • Quality of the content and its relevance to the curriculum and research interest of the Institute
    •  Cost-effectiveness budget consideration
    • Subscription and access models available
    • User accessibility and usability of the resource
    • Technical compatibility of the resource with the existing systems
    • The service providers offer technical support and after-sales support
    • Credibility of the content provider
  • Evaluated resources and then submitted to the LIC committee for final recommendations
  • LIC Committee recommended e-resources will be sent to the final approval of the Competent Authority
  • The acquisition of e-resources involves a series of processes, including pricing negotiation and selection of appropriate pricing options, reviewing and signing the license agreement, and the final ordering and acquiring of e-resources.
  • LIC inspects various pricing options and chooses the most suitable price for the Institute. LIC also negotiates with the publishers to obtain the best-discounted rate for all subscribed e-resources
  • Acquisition of e-resources will comply with license agreements and copyright regulations. The license agreement is the written contract between the Institute and the service provider to access and use the e-resource for over a period.
  • LIC reviews and sign the license agreement. LIC reviews each term in the license agreement and ensures that the contract includes clauses on content, access domain, access methods, authorized users, copyright and fair use, subscription cost, perpetual access, governing law, liabilities of the library, terms of payment, and termination.
  • Once the agreement is signed, LIC places the subscription order for e-resources. Before processing the invoice, the library ensures that online access to the e-resources is activated and the invoice is in order.
  • Newly subscribed resources are added to the library portal and notified of the arrival of new online resources among the user community.
  • LIC also conducts training on e-resources at regular intervals 
  • The renewal process of e-resources is similar to the subscription of new resources, and the LIC has to follow all the processes involved in the subscription of new resources
  • E-resources renewal/cancellation decisions are made based on the usage of the resources during the subscribed periods.
  • LIC reviews the usage reports of e-resources, and it helps the library to ensure that the library is spending judiciously on the e-resources that are suitable for the research and academic interest of the Institute
